This policy is written in plain English so it's actually useful to read. It has not been reviewed by a solicitor — if you have any doubts about how your data is handled, please contact Jen directly using the details below.
Jen Brockwell Ltd ("I", "me", "my") is the data controller for jenbrockwell.com and the coaching services I provide. This policy explains what personal data I collect, why, and what rights you have over it.
What Data I Collect
Depending on how you interact with me, I may collect:
- Booking details — your name, email address, and phone number, collected when you book a call through Calendly.
- Payment details — handled entirely by Stripe when you purchase a Reset Call or Start Package. I never see or store your full card details; Stripe processes and secures all payment data on my behalf.
- Coaching information — anything you share with me during calls or check-ins relevant to your training and nutrition (e.g. health background, goals, progress). This is only ever used to coach you.
- Call recordings and transcripts — if a call is recorded or transcribed (for example, via Otter.ai), I will always tell you in advance and ask for your consent before recording begins. Where you've consented, recordings may be retained for up to 36 months, in line with my professional liability insurer's guidance, to help resolve any dispute or claim should one arise. You can withdraw this consent at any time.
- Email correspondence — if you email me directly.
Why I Collect It
- To book, deliver, and follow up on calls and coaching sessions.
- To take payment for services you've purchased.
- To build and adjust your personal training and nutrition plan.
- To respond to questions you send me directly.
I do not use your data for anything beyond delivering the coaching service you've signed up for. I don't sell your data, and I don't pass it to third parties for marketing purposes.
Who I Share Data With
I use a small number of trusted third-party services to run my business. Each only receives the data it needs to do its job:
- Calendly — for booking calls (name, email, phone number).
- Stripe — for processing payments (handled entirely on Stripe's own secure systems).
- Otter.ai — for call transcription, only when you've been told in advance and consented.
None of these providers are permitted to use your data for their own purposes beyond providing their service to me. Calendly, Stripe, and Otter.ai are based outside the UK/EEA (primarily the US), so your data may be transferred and stored there. Each of these providers maintains its own GDPR-compliant safeguards (such as Standard Contractual Clauses) for this — see their own privacy policies for detail.
Legal Basis for Processing
I process your data under the following lawful bases: contract (to deliver a service you've booked or paid for), consent (for anything optional, such as call recording), and legitimate interest (for example, keeping basic records of enquiries so I can follow up).
How Long I Keep Your Data
I keep client data for as long as you're an active client, plus a reasonable period afterward for legitimate business and legal purposes (such as accounting records, which UK law requires me to keep for 6 years). If you're not a client — for example, you booked a Discovery Call but didn't go ahead — I'll delete your details within 12 months if we haven't stayed in touch.
Your Rights
Under UK GDPR, you have the right to:
- Ask what personal data I hold about you
- Ask me to correct anything that's inaccurate
- Ask me to delete your data (subject to legal requirements, e.g. financial records)
- Withdraw consent for anything I do based on your consent, such as call recording
To exercise any of these rights, just email me — see contact details below.
